Billing Assistant

Job Summary:

We are looking for a skilled, dependable Billing Assistant to assist with our financial records, including purchases, sales, receipts and payments. Main role will be recording daily transactions (credit card and vendor invoices), deposits and income. Must be comfortable with QuickBooks Enterprise. Must be detail oriented, have strong math skills, be able to multitask, and be efficient.

Billing Assistant job duties include working closely with our Director of Operations, Operations Coordinator and CPA Firm on a day to day basis. Our ideal candidate holds an Associate’s / Bachelor’s degree in Finance or Accounting and has a strong knowledge of QuickBooks.
Ultimately, the Billing Assistant’s responsibilities are to accurately record all day-to-day financial transactions of our company.

Position:

Responsibilities:

  • Record day to day financial transactions and complete the posting process
  • Verify that transactions are recorded in the correct day book, vendor ledger, customer ledger, and general ledger
  • Record vendor invoices in a timely manner
  • Conduct a monthly reconciliation of every bank account
  • Enter daily business credit card transactions and monitor balances and payments
  • Maintain and orderly accounting filing system
  • Maintain the chart of accounts
  • Prepare frequent bookkeeping reports for our Director of Operations
  • Answer a high volume of emails throughout the day
  • Answer all vendors the same day, even if it is just to let them know that you have received their email and will respond to them as soon as you can
  • Conduct reconciliation of all accounts on an as needed basis
  • Comply with local, state, and federal government reporting requirements

Requirements:

  • Associate’s / Bachelor’s degree in Accounting, Finance or related field
  • Proficient skills in QuickBooks and Microsoft Excel
  • Experience with accounts payable, accounts receivable, payroll, and general ledger
  • Excellent technical ability
  • Excellent data entry skills along with a knack for numbers
  • Strong verbal and communication skills
  • Must be able to multitask, prioritize, work under pressure and meet deadlines
  • Good time management skills
  • Dependable, valuing the organization
  • Willingness to learn and resolve problems as they arise
  • High degree of accuracy and attention to detail
